About KeptValid

KeptValid: Supplier compliance documents, kept valid.

Why it exists

Most procurement teams in South Africa track supplier documents in a spreadsheet: B-BBEE certificates and affidavits, tax compliance PINs, COIDA letters, insurance. The spreadsheet holds the dates, but it can't tell you what has lapsed, and it can't ask a supplier for the new one. Certificates expire unnoticed until someone needs them.

Tools built overseas track insurance certificates but don't know South African documents, and procurement suites are too heavy for a team with a few hundred suppliers. KeptValid is the simple local one: see what has lapsed in two minutes, then let it do the chasing.

Principles

  • The checker stays free. Seeing what has lapsed needs no account and no payment. Paid plans add the chasing, not the basics.
  • Your suppliers' documents are private. The checker keeps your list on your device. When saving opens, supplier files will be private to your company, never sold and never used for advertising. See the privacy policy.
  • A person decides. When KeptValid starts reading uploaded documents, it will only suggest dates. A person on your team approves every document.
